Every founder has heard the horror story: a brand blasts a discount to a scraped list, the complaints roll in, and WhatsApp bans the number overnight — taking the customer relationships with it. Broadcasting on WhatsApp is powerful precisely because Meta polices it hard. The good news: staying safe isn't luck, it's a short list of rules. Follow them and you can send to thousands without a second thought. Break them and no tool will save you.

Rule 0 — Use the official API. Always.

Unofficial 'bulk WhatsApp sender' tools that automate the regular app are the single biggest ban risk. Meta detects the pattern and blocks the number. The only safe way to broadcast is the official WhatsApp Business (Cloud) API, where you connect your own verified number through Meta and send approved templates. A platform like IndiSell Reach runs on that API by design. If a tool promises 'unlimited bulk sending' from an app, walk away.

Rule 1 — Only message people who opted in

This is the rule everything else hangs on. Send only to contacts who agreed to hear from you — a checkout checkbox, a click-to-WhatsApp opt-in, a keyword join. Never import a purchased or scraped list; those generate blocks and complaints, which is exactly what Meta measures. Consent isn't a legal formality here — it's the mechanic that keeps your number alive.

Rule 2 — Send approved templates, in the right category

Outside the 24-hour service window, every business-initiated message must be a pre-approved template. Submit it, pick the honest category (marketing vs utility), and don't try to dress a promotion up as an order update — Meta re-categorises and penalises that. Approved, truthful templates are what let you reach people at all.

Rule 3 — Segment. Don't blast the whole list.

The fastest way to tank your quality rating is to send the same marketing template to your entire list every week. Relevance is protection: send the restock alert to people who viewed that product, the category offer to people who bought that category, the win-back to lapsed buyers. Smaller, relevant sends get read and get replies; big irrelevant ones get muted and reported.

Rule 4 — Watch your quality rating

Meta gives your number a quality rating (green/yellow/red) based on how recipients react — blocks and 'not useful' reports drag it down, and a low rating throttles how many messages you can send. Treat it as your report card. If it dips after a campaign, that campaign was too broad or too frequent. Slow down and tighten the segment before it costs you your sending limit.

Rule 5 — Make opt-out instant and obvious

Let people leave easily, and honour it immediately — a good tool removes an opt-out from every future send automatically. Counter-intuitively, an easy opt-out protects your number: a customer who can mute you with one word won't report you to Meta, and reports are what get numbers banned.

Rule 6 — Warm up and pace new numbers

A brand-new number that immediately blasts thousands looks like spam. Build volume gradually, lead with welcomed utility messages (order updates) that get positive engagement, and let your sending limits and quality rating climb before you scale marketing sends.

A pre-send checklist

  • Official API, own verified number — not an app automator.
  • Every recipient opted in; no purchased lists.
  • Template approved, category honest.
  • Segment is relevant to the message, not 'everyone'.
  • Quality rating healthy; opt-outs honoured instantly.
  • New number warmed up before big sends.

The short version

Broadcast to people who want to hear from you, with useful approved messages, in relevant segments, on the official API — and your number stays healthy indefinitely. IndiSell Reach enforces the mechanics (official API, opt-out handling, template sends) so the discipline you have to bring is just relevance and restraint.
